Terms and Conditions

These terms govern your use of the PilotDocs iOS application ("the app"), developed by CharterOne Solutions ("we", "us"). By downloading or using the app you agree to these terms.
1. What PilotDocs is — and is not
PilotDocs is a personal organisational tool for storing copies of aviation-related documents and receiving reminders about expiry dates.
PilotDocs is not an official record. It does not replace your original licenses, certificates, medical certificates, passports, visas, or any other document. It is not a substitute for compliance with the requirements of any civil aviation authority, employer, or state.
You remain solely responsible for:
- The accuracy of the information you enter, including expiry dates
- Carrying valid original documents as required by applicable regulations
- Verifying the currency and validity of your documents through official channels
- Meeting all regulatory, licensing, and medical requirements applicable to you
Reminder notifications depend on the dates you enter, your device settings, and iOS notification delivery. Do not rely on the app as your only means of tracking document validity.
2. License
We grant you a personal, non-exclusive, non-transferable license to use the app on Apple devices you own or control, as permitted by the App Store Terms of Service. The app is for private, personal use. For commercial licensing or fleet/organisational use, contact us.
3. PilotDocs Pro subscription
- PilotDocs Pro is an optional auto-renewing subscription (monthly or annual) that enables iCloud sync and backup across your devices.
- Payment is charged to your Apple Account at confirmation of purchase. Subscriptions renew automatically unless cancelled at least 24 hours before the end of the current period. Manage or cancel in your Apple Account settings.
- If your subscription lapses, sync stops but all data on your device remains intact and fully usable. Previously synced data remains in your personal iCloud.
- Prices may change; changes apply only to subsequent renewal periods and Apple will notify you as required.
- Refunds are handled by Apple under App Store policies.
4. Your data
Your documents and data are stored on your device and, with Pro, in your private iCloud database. We have no access to them. See our Privacy Policy. You are responsible for maintaining your own backups (e.g. device backups or Pro cloud sync) and for the security of your device and Apple Account.
5. Acceptable use
You agree not to use the app to store or distribute content that is unlawful, that you do not have the right to hold, or to reverse-engineer, resell, or redistribute the app except as permitted by law.
6. Disclaimer of warranties
The app is provided "as is" and "as available", without warranties of any kind, express or implied, including fitness for a particular purpose, accuracy, or uninterrupted availability. We do not warrant that notifications will be delivered, that sync will be continuous, or that the app will be error-free.
7. Limitation of liability
To the maximum extent permitted by law, CharterOne Solutions shall not be liable for any indirect, incidental, special, or consequential damages — including missed renewals, expired documents, regulatory findings, loss of licence privileges, loss of income, or loss of data — arising from your use of, or inability to use, the app. Our total liability for any claim shall not exceed the amount you paid for the app subscription in the twelve months preceding the claim.
Nothing in these terms excludes liability that cannot be excluded under applicable law.
8. Termination
You may stop using the app at any time; deleting the app removes all local data. We may terminate or suspend availability of the app or Pro services with reasonable notice where practicable.
9. Changes to these terms
We may update these terms from time to time. The current version will always be available at charteronesolutions.com/pilotdocs/terms with a revised date. Continued use of the app after changes take effect constitutes acceptance.
10. Governing law
These terms are governed by the laws of the Republic of South Africa.
