Privacy Policy

PilotDocs is developed by CharterOne Solutions ("we", "us"). This policy explains what information the PilotDocs iOS app handles and where it goes. The short version: your documents stay on your device, or in your own iCloud if you subscribe to Pro. We never see them.

What the app stores

PilotDocs stores the information you enter to organise your aviation documents:

Item details: titles, categories, document numbers, issuing authorities, issue and expiry dates, and notes
Document attachments: photos and PDF files you add to items
Profile details you optionally provide for PDF exports: name, email, company, position, license number, and base airport
App settings, such as your notification and security preferences

All of this is stored locally on your device. If you enable app lock, your PIN is stored in your device's keychain and never leaves the device.

What we collect

Nothing. PilotDocs contains no analytics, no advertising, no tracking, and no third-party data collection of any kind. We have no servers and no account system. We cannot see your documents, your profile, or how you use the app.

iCloud sync (PilotDocs Pro)

If you subscribe to PilotDocs Pro and enable Cloud Sync, your items and attachments are synced to your private iCloud database, operated by Apple and tied to your Apple Account. This data:

Is stored in your personal iCloud storage, not on our servers
Is accessible only to you, on devices signed into your Apple Account
Is never accessible to us
Has its document details (titles, numbers, dates, notes) stored as end-to-end encrypted fields — the encryption keys exist only on your devices. Attachments are encrypted at rest by Apple, and are also end-to-end encrypted if you enable Advanced Data Protection on your Apple Account
Can be stopped at any time by turning Cloud Sync off in Settings

Apple's handling of iCloud data is governed by Apple's Privacy Policy.

Subscriptions

PilotDocs Pro subscriptions are processed entirely by Apple through the App Store. We do not receive your payment details. Subscription status is checked on-device via Apple's StoreKit framework.

Notifications

Expiry reminders are local notifications, scheduled and delivered entirely on your device. No notification data is sent to us or to any third party.

Camera and photo library

PilotDocs requests camera and photo library access only when you choose to attach a document photo. Captured and selected images are stored inside the app's local storage (and your private iCloud, if Pro sync is enabled). They are not transmitted anywhere else.

PDF exports

When you export a PDF, the file is generated on your device. Where you send it (email, messaging, file storage) is entirely under your control via the iOS share sheet.

Data retention and deletion

Your data exists only where you can see it:

On device: deleting an item deletes it and its attachment. Deleting the app deletes all local data.
In your iCloud (Pro): synced items are deleted from your private database when you delete them in the app. You can also manage iCloud storage in iOS Settings.

We retain nothing, because we hold nothing.

Children

PilotDocs is a professional tool intended for pilots and aviation personnel. It is not directed at children under 13 (or the equivalent minimum age in your jurisdiction).

Changes to this policy

If we change this policy, the updated version will be posted at charteronesolutions.com/pilotdocs/privacy with a revised date. Material changes will be noted in the app's release notes.
